Hays Specialist Recruitment has partnered with a industry leading Pharmaceuticals organization located in Ottawa, ON. We are looking to hire a Administrative Coordinator to join their team on a permanent basis.

Your new role

  • Supports the departmental staff in relation to coordination of events and conferences (BIO, Parliamentary Hill Day, Patient Conferences, Provincial Stakeholder Days, etc.), including but not limited to planning and securing logistics, coordinating schedules, communication to invitees and attendees.
  • Manages and maintains the Association’s Sponsorship Program and works with the Stakeholder Relations staff to ensure deliverables and timelines are met, including but not limited to renewing, updating, and tracking the applications, producing reports, letters and other tasks as required.
  • Provides support to the departmental staff including but not limited to administrative processes, communication to networks, and Operational Teams.
  • Supports and monitors project developments, deliverables, and timelines for all projects and facilitates cross collaboration with other departments to ensure alignment and cohesion.
  • Provides departmental support with CRM (Salesforce) information input and updates, including but not limited to Federal and Provincial MP and MPP listings.
  • Supports the preparation of departmental briefing notes, reports and presentations as requested.
  • Facilitates communication within the department as well cross-functionally across the Association as required for success.
  • Participates in cross-functional projects as requested.
  • Provides support to other departments as required.
  • Other duties may be required as per the direction of the Vice President.

What you'll need to succeed

  • Minimum of five years’ experience in a coordination or management capacity in one or more of the following areas: government, the voluntary sector, the private sector, health care, research, and the technology innovation sector.
  • Demonstrated experience in managing a variety of projects and events in ambiguous and fast-paced environments.
  • Demonstrated experience working with technical software such as Microsoft Suite, Survey Monkey, Salesforce, Adobe, etc.
