Hays Specialist Recruitment has partnered with a global property management organization located in Toronto, ON. We are looking to hire a Receptionist to join their team on a contract basis of 3 months, which has the possibility of extension/ permanent.


Your new role


  • Greeting Visitors: Receptionists welcome guests as soon as they arrive at the office. They ensure a warm and friendly reception experience.
  • Directing Visitors: When visitors arrive, receptionists direct them to the appropriate person or office within the organization.
  • Handling Phone Calls: Receptionists answer, screen, and forward incoming phone calls. They ensure callers are connected to the right department or individual.
  • Maintaining a Tidy Reception Area: Reception areas should be neat and presentable. Receptionists organize necessary stationery and materials (such as pens, forms, and brochures).
  • Providing Basic Information: Receptionists offer basic and accurate information in person or via phone/email.
  • Managing Mail and Deliveries: They receive, sort, and distribute daily mail and deliveries.
  • Ensuring Office Security: Receptionists follow safety procedures to maintain office security. They control access via the reception desk, monitor logbooks, and issue visitor badges.
  • Ordering Office Supplies: Receptionists order front office supplies and keep track of inventory.
  • Updating Calendars and Scheduling Meetings: They maintain calendars, schedule meetings, and arrange travel accommodations.
  • Record Keeping: Receptionists keep updated records of office expenses and costs
  • Other Clerical Duties: Additional tasks may include filing, photocopying, transcribing, and faxing.


What you'll need to succeed


  • Proficiency in Microsoft Office Suite: Receptionists should be comfortable using software like Word, Excel, and Outlook.
  • Familiarity with Multi-line Telephone Systems: Handling phone calls efficiently is essential.
  • Typing Skills: Receptionists often need to type and manage correspondence.
  • Professional Demeanor: Consistent, professional dress, and manner are crucial.
  • Excellent Communication Skills: Receptionists interact with visitors, colleagues, and clients.
  • Time Management: Good organizational skills are necessary for handling various tasks.
  • Confidentiality: Receptionists handle sensitive information and must maintain confidentiality.
  • Adaptability: Receptionists may work in shifts, so flexibility is beneficial
  • Proven work experience as a receptionist or in a similar role is advantageous.
  • Hands-on experience with office equipment (such as fax machines and printers) is beneficial
