Executive Assistant to the Vice-President | Construction | $45,000+ annually | Ottawa - On-site

Hays has partnered with a well-known construction company in Ottawa who are seeking a new Executive Assistant to support their Vice-President. As the Executive Assistant, you will be responsible for assisting the VP of Construction with any administrative work, including: phone calls, coordinating meetings, purchase orders, etc. In this role you will need to multitask and work quickly and efficiently, with a high-level of organisation.

New graduates and entry-level applicants with some relevant experience are highly encouraged to apply.

Your new role
You will be in charge of general administrative duties to support the construction department, and will be responsible for supporting all sites with various tasks (i.e. construction, contract and cost admin; occupancy permits; PO's; processing leave requests, mileage, general queries, customer support; etc.) You will assist the VP with approvals process, generate reports and minutes, and organise meetings. You will also be tasked with communicating between Site Superintendents, Trades, Finishing Foremen, and VP, as well as ad-hoc communications with other departments.

You will be highly organised, and capable of running cheque deposits, processing new deals for sales, processing amendments and paperwork for sales department, processing vendor Purchase Orders, filing and archiving. You will have excellent communication skills and be able to prepare gift bags, events and manage communication with end-clients where needed.

What you'll need to succeed
The ideal candidates will have strong analytical skills and the ability to work independently and unsupervised. You will be a collaborative and energetic team player who has some knowledge of the construction industry. Strong attention to detail and effective communication skills are a must.

Assets include experience with Microsoft Office with strong focus on Excel and Outlook, and experience in using a construction-related software system (ie. Newstar, Builder MT, Mark Systems).
